How to Manage Bills
SeeBiz Inventory allows you to record the goods received from suppliers in the form of bills that you are obligated to pay.
Here’s how you can manage your bills in SeeBiz Inventory.
Go to the Item Navigation Sidebar and click on “Bills”.
Here, you’ll be able to view all the bills alongside their different properties such as:
- Due Date
- Number
- Purchase Order Number
- Vendor Name
- Status
- Amount
- Balance Due
Pro Tip: You can sort bills by clicking on each of the above properties. Each click will either sort the bills in ascending or descending order indicated by the “↑” and “↓” arrows.
In the Bills Masterview, you’ll be able to perform the following actions:

View a Bill
Overview
Click on a bill to view all of its details.
Basic Details
This section shows the following:
- Vendor name
- Bill number
- Bill status
Billing Details
This section shows the following:
- Purchase order number
- Bill date
- Due date
- Bill author
- Total payable amount
- Balance due
Item Details
This section shows the following:
- Included items
- Item’s warehouse
- Item quantity
- Item price
- Total amount per each item
- Subtotal
- Discount
- Sales tax
- Adjustments
- Total payable amount
- Payment made
- Balance due
History
Click on the “History” tab to view all the changes made to the bill.
Payments
Click on the “Payments” tab to view all the payments made against the specific bill.
If you haven’t made a payment, click on “+ Make Payment” or the “Make Payment” button in the top-right corner to make one now.
The following window will open.
- Enter the payment made to the vendor
- Enter the date when the payment was made
- Select the payment method
- You can enter the reference number, if any. For example, you can use the Transaction ID if you’ve made the payment online
- You can add any additional notes if you want.
- Click on “Save” to record the payment made against a bill. You can also select “Save & Send” to record the payment and email the bill to the vendor.
Insight: If the payment made is less that the total payment on the bill, the bill will be considered as “partially paid”.
Bill Options
Mark as Open: Mark a bill in draft as “open”.
Mark as Void: Mark a bill as void.
Edit: By clicking on the “Edit” option, you can add/change different details about this bill.
Download PDF: This will help you download the information on the bill in a PDF form.
Print: Get the bill in printed form.
Attachment: Attach a file with the bill.
Delete: Remove the bill from the list.
Also, you can create new bills from this window by clicking on “+ New” in the top-right corner.
Export Bills
To make a separate backup of your bills in your personal device, click on the Hamburger button and select the “Export Bills” option.
This pop-up window will appear. From here, you can select the “Export Filter”.
- Select “All” to export each and every one of your bills.
- Or, select “Custom” to export bills within a specific time period.
Click on the “Export” button to download your bills as a CSV file.
Bill Menu
Here, you can modify details about a bill and even perform different actions on it.
Click on the vertical ellipsis icon against a specific bill to open a drop-down menu. You can perform the following list of actions here.
Edit: By clicking on the “Edit” option, you can add/change different details about a bill.
Insight: Details about a bill cannot be changed if it’s paid, overdue, or marked as open.
Delete: By clicking on the “Delete” option, you can remove a bill from the list.
Insight: A bill cannot be deleted if it’s paid.
View in PDF: This will display the bill’s information in PDF form. You’ll also be able to download it as a PDF file.
Mark As Open: Mark a bill in draft as “open”.
Mark As Void: Mark a bill as void.
Convert to Draft: Convert a bill marked as “void” to draft.
Bulk Operations
To apply actions on multiple bills at the same time, use bulk operations. Here’s how.
- Select your desired bills.
- Next, click on “Options” at the top of the page and select one of the following choices:
- Export Selected: Export all selected bills.
- Delete Icon: Delete the selected bills. However, bills that are paid won’t be deleted.
Filter Bills
Filters allow you to only view bills belonging to a specific category. Here’s how to use them.
Click on the box beside the “Bills” heading. You can filter your bills based on the following categories:
- Show all Bills
- Only show bills in draft
- Only show bills marked as open
- Only show partially paid bills
- Only show completely paid bills
- Only show overdue bills
- Only show bills marked as void
Sort Bills
You can sort the bills according to the following parameters:
- Due Date: Sort according to the due date of the bill
- Order No: Sort according to the purchase order number
- Bill Status: Sort according to the status of the bill
- Amount: Sort according to the total payable bill
- Balance Due: Sort according to due payment on the bill
- Vendor Name: Sort alphabetically according to the name of the vendor
- Created Time: Sort according to the created time of the bill
Bills Navigation
To easily view a large number of bills, SeeBiz Inventory lets you limit the amount displayed on a page.
Click on the box beside “+ New” to select how many bills per page you want to view. Also, you can click on the “>” or “<” icons to see the bills on the next or previous pages.
